PT Coordinator - Special Events

The Chico Area Recreation and Park District (CARD) is looking for a Part-Time Recreation Coordinator for Special Events.  This Coordinator will plan, coordinate, and supervise monthly community events. The Coordinator will also directly supervise  temporary/seasonal part-time intern(s). 

CARD hosts many special events for our community throughout the year. Some events are annual and others are more frequent.  Some events have admission cost, or fees to participate, some are free to the public.  All are designed to provide an enjoyable experience to members of our community.  These events include, but are not limited to:

The ideal candidate will be organized and have experience overseeing special events. This person will have excellent customer service and leadership skills along with excellent communication abilities, both verbal and written. The facets of excellent communication skills include being transparent, tactful, diplomatic and empathetic to fellow staff and the public.

 

This person will also be self-motivated, a self-starter, team player and efficient with their time and work-related assignments. This also includes someone with the ability to troubleshoot and problem solve issues for positive resolution as they arise.

 

In addition to those desired competencies, the ideal candidate will round all of that out with an outgoing and warm personality that makes him or her approachable by those they interact with (public and staff). A college degree in Recreation or a related field is highly desired.

 

This position is part-time, not to exceed 20 hours per week. The Special Events Coordinator will work varying hours, including evenings and weekends, as needed by the District and agreed upon with their supervisor.

 

Because special events occur throughout the District, work will be performed both outside and inside. As a result, this position will be subject to varying outdoor temperatures and weather conditions. When working inside, generally it is within a temperature controlled environment subject to typical office noise.  Depending upon assignment, may occasionally walk on uneven or slippery surfaces or be exposed to public pool or creek water.  Will be subject to street or recreation related field noise.

Description

ESSENTIAL AND MARGINAL FUNCTIONS:May include, but are not limited to, the following:

  • Assist in planning, implementing, organizing, promoting, and supervising recreation events, and activities; coordinate and schedule events.
  • Monitor day-to-day operations of programs and events, including making site visits, handling and resolving complaints or issues not requiring the attention of a Recreation Supervisor, and ensuring events have required materials and supplies. 
  • Assist in the preparation and administration of program budgets; monitor program expenses to stay within budget.
  • Coordinate and promote events with outside agencies and organizations; co-sponsorship of events with community groups and businesses.
  • Provide quality internal and external customer service and assist the public and coworkers through phone, email, or direct contact.
  • Learn, understand, and follow any event instructions or guidelines. 
  • Ensure events are operated in accordance with established safety regulations, policies, and procedures. 
  • Assist in gathering, analyzing, and reporting of information pertinent for the development and scheduling of events.
  • Review and process timesheets of temporary/seasonal part time employees prior to review and approval by the Recreation Supervisor. 
  • Provide direction to and supervise temporary/seasonal part time staff and volunteers, including selecting, monitoring, training, scheduling and determining workloads; assist with hiring, disciplinary and evaluation processes. 
  • Report personnel and maintenance issues and needs to the Recreation Supervisor.
  • Utilize Active to schedule facilities for use.
  • Conduct activity registration and handle cash management.
  • Issue and check the overall condition and inventory of equipment, products and supplies used in a variety of events.  Provide recommendations to maintain proper inventory and quality condition.
  • Attend staff meetings and other meetings as assigned. 
  • Drive a vehicle to conduct District business. 
  • Performs other related duties as assigned.
Requirements

MINIMUM QUALIFICATIONS:

  • Any combination of education, experience, or training that provides the required knowledge and ability to perform the essential functions of the position.
  • Ability to deal effectively with conflict and resolution.
  • Ability to provide quality customer service, develop favorable public relations, and maintain an appearance that projects a professional, positive image. 
  • Ability to communicate clearly and concisely, both orally and in writing.
  • Ability to understand and carry out oral and written instructions.
  • Ability to read and write at a level necessary for acceptable job performance.
  • Ability to receive, recognize, prioritize, accomplish, and delegate needed tasks.
  • Ability to think clearly, quickly, and accurately in emergencies. 
  • Ability to work the hours the program requires. 
  • Ability to travel to various sites in the District to complete work activities. 
  • Possession of current First Aid and CPR certificates or obtainment of certificates as required for assigned program. 
  • Ability to utilize CARD technology and software for daily operational effectiveness. 
  • Ability to be in compliance with and meet background check requirements.
  • Possess a valid California Driver’s License and be insurable on the District’s vehicle liability policy.
