Meals on Wheels Specialist - Fremont

Summary:  Implement the Meals-on-Wheels program. Answer and respond to incoming calls on the Meals-on-Wheels hotline; manage drivers and maintain client database.  Use scheduling and routing software to assign clients to routes according to demand and manage daily meal delivery.  Manage the accurate entry of information into the management information system and software, process invoices, and internal billing documentation for payment.

Essential Duties and Responsibilities:

  1. Maintain accurate and up-to-date knowledge on applicable federal, state, and local regulation changes, funding source contract goals, and eligibility requirements.
  2. Ensure an adequate number of volunteer drivers are available for services, retain volunteers and manage day-to-day scheduling; serve as back-up driver for volunteer routes; and coordinate annual volunteer recognition.
  3. Use scheduling software to design meal routes, assign consumers to routes, prepare manifests, dispatch meal drivers, develop and update delivery schedule, and submit meal order to kitchen daily. 
  4. Assist drivers with finding destinations with communication devices such as mobile data terminals and cell phones.
  5. Inform staff and case managers of changes and concerns in Home Delivered Meal consumer status; coordinate immediate incident, not home and/or emergency communication with appropriate local officials and TRIPS Dispatch.
  6. Maintain effective communication with clients and referral agencies and resolve minor customer complaints/concerns.
  7. Answers the Meals-on-Wheels hotline, communicate, and distribute information to consumers about WSOS programs, changes in service, menus, nutrition education information, newsletters, and customer satisfaction surveys.
  8. Compile and prepare reports, customer satisfaction survey results, and newsletter.
  9. Assist with developing and maintaining information systems, consumer file, and volunteer service hours systems that will provide accurate and up-to-date program information; verify information with appropriate staff and enter into the management information system.  Identify and communicate with supervisor regarding variance in contract goals.
  10. Update and maintain the Meal Delivery procedure manual; conduct orientation and training for drivers on procedures and use of tablets.
  11. Manage Newsletter, SAMS, and CAREeVantage databases for IIIC, IIIB, Co-pay, PASSPORT and Department of Aging DDE or consumers; initiate problem tickets and resolve complaints.
  12. Ensure accurate and timely invoicing of payments including fee for service, SAMS, CAReVantage, and Ohio Department of Aging DDE with appropriate back-up documentation.
  13. Other duties and responsibilities as directed by supervisor.







To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.


Required Associate degree in business management, social work or office management or related field and ability to obtain Food Protection and ServSafe Certifications within six months.


One to three years’ experience in business administration or office systems and procedures; prefer one to three years’ experience working with seniors; and  one to three years’ experience working with word processing, spreadsheet, and database software.

 Additional Requirements:

  1. Must submit to state and/or federal criminal checks.
  2. Must submit to initial and periodic drug and alcohol testing.
